Core Competency: Logistics

The domain of Logistics includes content in the areas of ADA requirements, Back of the House, CVBs, Disaster Preparedness, Risk Management, Meeting Safety, Room Setups, Insurance, Security, Music Licensing, Post-Con Meetings, Pre-Con Meetings, Shipping, Transportation, and Unions. View each subdomain below; the bold text shows each subdomain's alignment with EIC domains.

  • While just about anything can be included in meeting logistics, the following courses will help you understand the industry standards in meeting logistics including transportation, room setup, insurance requirements, and security. 

Domain G: Meeting or Event Design

  • ADA Requirements: Federal requirements preventing discrimination against individuals with disabilities and addressing barriers and access for multi dimensional participation in the event

  • Effective Room Setups: Designing the best table and chair arrangement in a meeting room to support the best facilitation of the program

Domain G: Meeting or Event Design

  • Insurance: understanding what protections are needed at your event that will prevent potential loss

Domain C: Risk Management

  • Security: Best practices. What to ask the venue about security. Resources for finding Security personnel, if needed. Establishing the need for security beyond what the venue provides.

  • Music Licensing: Understanding the different types of music licensing. Understanding when music licensing is required. Resources to help determine the need and to facilitate the process.

Domain G: Meeting or Event Design

  • Post-Con Meeting: A meeting after the event to review both positive and negative issues that transpired. What feedback is helpful for future events?

Domain A: Strategic Planning

  • Pre-Con Meeting: A meeting prior to the event to review every aspect of the event, including security and risk management. Understanding who should be there and important questions to ask.

  • Shipping: Methods of shipping materials to the event city. Resources. Hotel charges in regards to shipping and storage.

Domain H: Site Management

  • Transportation: Airport to hotel ground transportation options. Group transport to off-site excursions. Resources.

    Through this presentation you will learn about what it means to be Deaf, Hard of Hearing, and Deaf Blind. Attendees will learn about different accommodations used by these populations and how to incorporate them to achieve communication equity. The presenters will share how procedures and guidelines can be altered to foster accessibility for meeting participants.

    Designed to provide a reminder for experienced event planners and basic insight for beginners on the (4) four basic elements of event planning: 1. Selecting the appropriate venue; 2. Negotiating pricing and contract specifics; 3. Arranging the necessary event services; 4. Planning the overall event. Participants leave with a base working knowledge of all aspects of what goes into planning a meeting or event.

This is true for your security, as well as your team and your meeting attendees. Participants at this session will better understand the digital risks, and learn to separate truth from the hype about how secure their presence is.

    As event managers/planners we need to know the difference between risk management and emergency preparedness, and how to do both for the safety of our attendees. Do understand what the term "due diligence" means? Do you know what tools you have available to you to understand if the location is a risk or safe? What kind of emergency plans should you as the meeting planner have in place? This session will help you identify how to assess potential locations for risk management, emergency plans that every meeting planner should have in their files, and what to have in place in the event of an emergency.
